What an entry condition report is

An entry condition report, at a glance
  1. Step 1 of 5: Preparer fills in the reportRooms and areas, items, observations and meter readings.
  2. Step 2 of 5: EvidencePhotos or PDFs, added while the report is a draft.
  3. Step 3 of 5: Issue for review and signature
  4. Step 4 of 5: Tenant responds: Agree or DisagreeFor each item, with a comment where needed.
  5. Step 5 of 5: SignaturesEach party signs the issued revision.

Outcome: Executed: the report is locked and the executed PDF is available in PlaceNest.

NSW reports use the official rooms and items; ACT reports use PlaceNest's own report based on the ACT form.

An entry condition report records the state of the property at the start of a tenancy. In PlaceNest it is created automatically with the tenancy agreement, once the person holding the decision starts tenancy documents.

NSW reports use the official rooms and items. ACT reports use PlaceNest's own report based on the ACT form, with condition codes such as C (Clean) and G (Good).

Good to know: PlaceNest currently prepares entry condition reports only.

How it works

  1. The landlord or agent (the preparer) fills in the report: rooms and areas, items, observations, meter readings and other details.
  2. The preparer adds evidence photos or PDFs where helpful.
  3. The preparer issues the report for review and signature.
  4. The tenant responds to each item with Agree or Disagree, and adds a comment or file if needed.
  5. Each party signs the issued revision. The tenant's signature also covers their responses.
  6. When every required party has signed, the report is executed and can no longer be changed.

The report page shows the timing that applies, such as when the report must be given and when the tenant should return it.

For the preparer: rooms, items and photos

  • Use "Add a room or area" and "Add item" to extend the report. Standard areas can be marked "Not applicable" but not removed.
  • To add evidence, drag and drop a photo or PDF onto the upload area, or use "Choose file". On a phone or tablet, use "Choose file".
  • Upload one file at a time: JPEG, PNG or PDF, up to 10 MB. You can add a caption.
  • Location data is removed from photos.
  • A new photo becomes part of the report when you next issue it. Photos can only be added while the report is a draft.

For the tenant: responding to each item

Open the report from "My tenancy documents". For each item you see the landlord or agent's observation first. Your response is recorded separately and never changes their observation.

  1. Choose Agree or Disagree for the item.
  2. Add a comment. A comment is optional when you agree and required when you disagree (up to 1000 characters).
  3. Optionally attach a file using the file input (JPEG, PNG or PDF, up to 10 MB).
  4. Select "Save response". The page shows how many items you have responded to.

In ACT reports you can also record your own condition assessment for an item. This is optional.

Signing the report

Record every response before you sign. After you sign a revision, you cannot respond to it any more.

If you have not responded to some items, PlaceNest asks you to confirm that you are choosing to sign without responding to them. Read that confirmation carefully: it explains what your signature covers for those items.

Important: If the report changes, a new revision is issued and everyone must sign again.

The executed report

Once executed, the report is locked. The executed PDF shows the landlord or agent's observations and the tenant's responses separately, with a list of the evidence files. Download it from the report page in PlaceNest. E-mails never attach it.

What PlaceNest does not do

Important: PlaceNest does not inspect the property or check observations, responses or photos. It records what each party enters. It does not give legal advice. Check the official tenancy information for the ACT or NSW for your rights and obligations.

This guide explains how PlaceNest works. It is general information, not legal advice. For your rights and obligations, check the official tenancy information for your state or territory or get independent advice.
