Reviewing applications

How applications are grouped, how to review them, ask for more information, shortlist and decide, and how referrals to a landlord, managing agent or property owner work.

For: Property owners and landlords, Real-estate agents and property managers · Last reviewed 28/09/2026

Applications received

Applications received lists every advertisement you can review. It is grouped by property, then by advertisement, then applications. Your own advertisements and those you manage as a listing agent are shown separately.

  • Each property is headed by its street address, with its PRP reference beneath it.
  • Each advertisement has its own row with its ADV reference and state (for example Active, Leased, Expired or Archived).
  • Each row shows counts: Total, Submitted, Under review, Approved (or Selected), and Unsuccessful. Open the row to see that advertisement's applications.
  • Applications someone else sent you appear under "Shared with you for review".
  • Each advertisement's applications list shows a short applicant summary where you are allowed to see it. Contact details appear only if you can see the full application.

For an overview across all your advertisements, open Workspace from the account menu (under My property). It shows live application counts, upcoming inspection times and applications shared with you, with links to each list.

Inside the workflow, the property address is shown, alongside the references, to the people taking part: the advertiser and authorised reviewers; the applicant once they have submitted; and an invited reviewer only after they accept and the applicant agrees to share. This does not make the address public: the advertisement keeps its own address privacy setting.

Good to know: PlaceNest never ranks or scores applicants. Decisions are made by the people reviewing them. Quote the APP, ADV and PRP references when you contact support.

Reviewing an application

Open an application to read it. Use "Mark under review" so the applicant knows you are looking at it. Documents are private to the application's reviewers, and opening them is recorded.

Use "Shortlist" to mark applicants you are interested in. Shortlisting is not a status and not an approval; the applicant is told that.

Reviewers see each participant in the application history as name · role · USR reference (for example who asked for information, who referred the application and who accepted an invitation). The applicant sees roles only, not reviewers' names. A name is as entered by that person; it does not show that they own or manage the property.

Full application
The deciding reviewer sees everything: contact details, household, living situation, employment and income band, referees, notes and supporting documents.
Screening summary
A tenant who advertised a room or a lease transfer sees only the applicant's name, household, move-in date, lease term, pets, living-situation type, employment status and notes. Never contact details, income, referees or documents.
Completed review
Once your part is complete you can still see the version or versions you reviewed, but not later ones.

Asking for more information

Use "Request additional information". Choose what you need, write a message (5 to 1000 characters) and optionally set a "Please respond by" date within 90 days. The date is a guide only; nothing expires.

  • Only one request can be open at a time.
  • The applicant can change only the parts you asked about and must add a short reply note.
  • Their answer creates the next version under the same APP reference, up to 6 versions. Earlier versions never change.
  • A screening reviewer can ask only about household, current living situation or other information.
  • Making a decision cancels an open request.

Important: Do not ask for bank statements with account numbers, passwords or unrelated personal details.

Who decides, and how

Who decides depends on the advertisement's "Who is advertising?" answer at the time the application was submitted. Older advertisements without an answer follow whether the advertiser has an agent profile.

Owner-advertised rental
The owner reviews and decides: "Approve application" (status Approved) or "Mark unsuccessful".
Agent-advertised rental
The agent reviews and decides. The agent may use "Send to property owner for consideration". The owner records a preference only (supports, does not support, or no preference). It is never an approval, the applicant does not see it, and the agent keeps the decision.
Room advertised by an existing tenant
The tenant screens only: they can shortlist, ask for more information or "Do not progress", but cannot approve or select. A landlord or managing agent they send the application to decides ("Select this applicant (in PlaceNest)", status "Selected (in PlaceNest)").
Lease transfer
If the current tenant advertised it (or did not say), they screen and must send it to the landlord or managing agent, who decides. If a managing agent or owner/landlord advertised it, they review and decide. The status is "Selected (in PlaceNest)".

Important: "Approved" and "Selected (in PlaceNest)" only mean the reviewer holding the decision chose this application in PlaceNest. They are not a signed tenancy agreement, a bond payment, a transfer of a tenancy or proof of anyone's authority. PlaceNest does not choose the successful applicant.

Reopening an unsuccessful application

Use "Reactivate application" to return an unsuccessful application to Under review. You must give a reason and confirm that you understand it will return to Under review. The applicant is told it was reopened.

  • An application can be reopened at most twice.
  • Only the advertisement's own review can reopen it, and only while that review is still open. An invited reviewer cannot, and nor can a reviewer who has handed the application over.
  • An application that has already been deleted under the retention policy cannot be reopened.

Referrals and invitations

Some routes let you send an application to another person: a tenant screener sends it to the landlord or managing agent (they take over the decision), and an agent sends it to the property owner for consideration (the agent keeps the decision).

  1. Enter who you are sending it to, their name, their e-mail address and, for a managing agent, an optional agency name. You cannot invite yourself or the applicant.
  2. PlaceNest creates a secure link. It is shown to you once, works once, only for someone signed in with the invited e-mail address, and expires after 14 days.
  3. The invited person signs in with that e-mail address and accepts.
  4. The applicant is asked to agree to share with that named person. They see the person's name, role, agency and e-mail domain. If they decline, the invitation is withdrawn and nothing is shared.
  5. Only when both have happened, in either order, does the invited person's review open.
E-mail accepted for sending
The e-mail service accepted the invitation e-mail. PlaceNest cannot confirm it reached the inbox.
Not e-mailed
PlaceNest did not e-mail it or it could not be sent. You can share the link you were shown instead.
Waiting to be accepted / Accepted / Withdrawn / Expired
Where the invitation is up to. You can withdraw an invitation you sent while it is pending, expired, or accepted but still waiting for the applicant.

Important: Accepting an invitation only confirms the person controls that e-mail address. It does not verify that they own or manage the property. Invitation e-mails never contain application details or documents; the person signs in to PlaceNest to see them.

After a decision: tenancy documents

Once an application is approved or selected, the person who holds the decision can start tenancy documents from the application's review page, for ACT and NSW properties. A screening tenant or a consulted owner cannot.

Nothing is binding until every required party has signed the governing document. For your rights and obligations, check the official tenancy information for the ACT or NSW.

This guide explains how PlaceNest works. It is general information, not legal advice. For your rights and obligations, check the official tenancy information for your state or territory or get independent advice.
