Your professional profile and agency
On your profile, under "How you list", choose "List as a professional agent". Add your professional name, an optional role or title, and a photo (JPEG, PNG or WebP up to 5 MB). Your name, role, photo and agency are shown on the advertisements you list or are assigned to. Your professional phone and e-mail are never public.
- Creating an agency
- If you create a new agency, you become its organisation owner. Only an owner or an organisation administrator of the agency can edit its name, contact details or logo, and confirm or remove its agents.
- Joining an agency (request)
- Choosing an existing agency is a request until an owner or administrator of that agency confirms you. Until then your advertisements show your own name, role and photo, not the agency's name or logo, and other agents cannot assign you as a listing contact.
- Active member and role
- Once confirmed you are an active member with a role (new members start as Agent). An active member can be named as a listing contact on an advertisement of the same agency, and can then review that advertisement's applications. A suspended or ended membership loses this at once.
- Your professional context
- Your profile shows "Your professional context": you, the agency your professional profile currently presents, your role there and your membership status. If you belong to more than one organisation, each membership and role is shown separately, and a role in one organisation never gives you anything in another.
Important: PlaceNest does not verify agencies, licences or anyone's authority to manage a property. A membership or role only means the agency confirmed you on PlaceNest.
Advertising as an agent
Create an advertisement from "List a property". Under "Who is advertising?" choose "Real-estate agent / property manager". This choice puts the advertisement on the agent route: you review and decide applications. It is shown as stated by you and is not verified by PlaceNest.
You can advertise many properties. Each advertisement belongs to one property. The advertisement's owner can choose up to a set number of confirmed agents from the same agency to show as listing contacts; the first is the primary contact.
Good to know: Enquiries go to the account that owns the advertisement, not to the listing contacts. Listing contacts can review the advertisement's applications.
Privacy settings
The street address is private by default: logged-out visitors see only the suburb and an approximate map location. For each advertisement you choose whether signed-in members may see the exact address and your direct contact details. Both default to No, and they reset to No when you reactivate, renew after expiry or make an advertisement available again.
References and how applications are grouped
- PRP
- The property. It stays the same across every advertisement of that property.
- ADV
- One advertisement, given when first published. A relisting gets a new ADV.
- APP
- One application. It keeps the same APP reference through every version.
Applications received groups your work by property (address first, with the PRP reference), then by advertisement, with status counts for each. Advertisements you manage as a listing agent are listed separately from your own.
Your Agent Workspace
Open it from the account menu: My property, then Workspace. It is headed "Agent Workspace" if you list as a real-estate agent or property manager, and "Workspace" for everyone else.
- It covers the advertisements you own or are an authorised listing contact on.
- It shows live counts of applications: new, under review, information requested, shortlisted, waiting on others, and approved or selected.
- It lists upcoming inspection times and applications shared with you for review.
- It links on to each advertisement's applications, where you take any action.
- Its "My tenancy documents" link says how many issued documents are awaiting your own signature. It shows no number when none are, which is normal. Drafts, executed and cancelled documents are never counted.
The top of the workspace shows who you are working as: your agency, your role there and your membership status, with a link to the details on your profile.
Good to know: The workspace is a read-only overview with links. It never ranks or scores applicants. It is not an external CRM, and it has no team or task-assignment features yet.
The application process, step by step
- The applicant submits an application. You are notified in PlaceNest.
- You review it. Use "Mark under review" when you start.
- If you need more, use "Request additional information". The applicant answers only what you asked, creating a new version under the same APP reference.
- Use "Shortlist" for applicants you are considering. It is not an approval.
- Where the owner should be consulted, use "Send to property owner for consideration". The owner records a preference only; you keep the decision.
- You decide: "Approve application" or "Mark unsuccessful". PlaceNest does not rank applicants or choose for you.
- After approval, you can start the tenancy documents for ACT and NSW properties.
If you are invited as the managing agent for a lease transfer or a room advertised by an existing tenant, you review the full application once the applicant agrees, and you can select an applicant ("Select this applicant (in PlaceNest)").
Owner invitations and applicant consent
When you send an application to the property owner, you enter their name and e-mail address. They get a one-time link that expires after 14 days and must sign in with that e-mail address. The applicant is then asked to agree to share with that named person. Nothing is shared until both the owner accepts and the applicant agrees.
The owner can record "supports", "does not support" or "no preference". This is not an approval and is never shown to the applicant.
Important: Accepting an invitation only proves the person controls that e-mail address. It does not prove they own the property. PlaceNest does not verify ownership, agency or authority.
Tenancy documents, condition reports and signatures
- Only the person holding the decision on an approved or selected application can prepare tenancy documents.
- A normal rental creates a tenancy agreement and an entry condition report. You record the parties' names and details; PlaceNest does not verify them.
- Nobody else sees your working draft. When ready, you issue it for review and signature; issuing freezes the last saved draft as a numbered revision.
- Each signature applies to one exact revision. Any change creates a new revision that must be signed again.
- When every required party has signed, the document is executed and can no longer be changed. A correction is a new document.
- In the condition report, the tenant's responses are recorded separately from your observations.
What PlaceNest does not do
- It does not verify ownership, agency, licences, identity or authority.
- It does not rank or score applicants, or choose the successful applicant.
- It does not contact referees.
- It does not collect rent or bonds, or lodge bonds.
- It does not take inspection bookings or record attendance.
- It does not confirm that an e-mail reached an inbox: "sent" means the e-mail service accepted it. E-mails never contain application details or documents.
- Approval or selection in PlaceNest is not a signed tenancy agreement.
Good to know: Planned — not available yet: integrations with CRM systems and property portals (for example importing or publishing listings), and team or task-assignment features in the workspace. None of these are available today.
Getting help
Contact PlaceNest Support from the Support page. Quote the APP, ADV and PRP references for the application or advertisement you are asking about. Never send passwords, bank details or identity documents.
